Before we start… Remember to start with GRACE & lead with COMPASSION
False statement about systems...
- "It's all about systems!"
- NO IT IS NOT!!
- It's about having systems that you can and will HONOR & it's about systems that are designed to achieve a specific STANDARD
NOTE: The list of “needed” systems will look different for a solo agent, a real estate team, an independent contractor, etc. I would recommend drawing out all of the systems and sub systems that you feel you and/or your organization will need, and then determine who will OWN those systems
- Determine your STANDARDS (we will have a separate webinar on this ingredient)
- Create a systems that helps you to achieve those standards
- Learn how to communicate these standards, and the systems and process that will support them (this is a learnable skill)
- HONOR the system
*Build GRACE into every systems - “We build grace into every system, and here’s what grace looks like…”
Where to start… BABY STEPS & MINI-WINS
- It starts with a business owner determining what levels of service and/or what types of service that they are going to offer a client.
- Then bring clarity as to what systems will be needed for each.
- Then determine if those systems can be broken down into smaller parts or sub systems (i.e.: Communications systems is then broken down into agents, buyers/sellers, vendors, etc... The systems that will best work for each of these sub groups will most likely look different).
- Then determine for each of these sub groups and systems what is the standard that the system is trying to achieve
- Create the system that will achieve the standard
- Learn how to properly and effectively communicate the system and standard that it is designed to achieve (know your standard for communication as well)
- And then HONOR the system
ADDITIONAL NOTES
- Draw it out - The list of “needed” systems will look different for a solo agent, a real estate team, an independent contractor, etc. I would recommend drawing out all of the systems and sub systems that you feel you and/or your organization will need, and then determine who will OWN those systems
- The “quarterly” audit. Fight the “overwhelm” - Break it down in to smaller parts, and just focus on those smaller parts each quarter… Grant yourself and your team some GRACE when it comes to building, auditing and/or making changes to your systems… GRACE matters!!
- Who owns what systems
- 60-90 minute time block per “quarter”
- List of systems owned in calendar description
- Audit each against the 5x5
- Set goals for the following quarter
- These time blocks also could be created by role and live on the master calendar for the team… and then whoever owns that calendar could update and change what’s in the description as needed, and invite whoever owns that role at that time… Ensuring that every role has a time block set aside for auditing the systems they own each “quarter”
We are not allowed to call, text or email that resembles the phrase “call me.” Two messages allowed: leave enough actionable information so that person can do something. leave enough information to end the conversation.
David’s response to “call me”
“Thanks for reaching out. Always love hearing from you. Feel free to reach back out when you have a second to share any ACTIONABLE information so that I can make sure that you are getting taken care of. Have an awesome day, and remember that you’re are the best in the business.”
